The list of accepted artists' names, addresses, and phone numbers was originally kept in a black notebook on the sales desk at the May Show. See also series 2.1, Accepted Artist.

Patron preview invitations were sent to patrons, trustees and members who had purchased art from the previous year's show. Press luncheon and preview invitations were sent out to local members of the press. Additional invitations may also be located in series 1, chronological files of the Director's office; series 2.5, correspondence of Modern Art; and in the archive's central files.

Press releases were distributed to the press announcing the call for entries and the opening of the show. The information includes highlights, names of award winners and jurors, and dates of the show. Occasionally radio announcements were also released. Press release packets for 1974-1993 are filed with series 1, the chronological files of the Director's office.
